Industry: Manufacturing · Size: 65 employees · Services: Email migration, server modernization, Microsoft 365
At a glance: 7+ million emails migrated from Lotus Notes to Microsoft 365, and a Windows 2000 server environment replaced with a modern, supported platform — with no lost mail and minimal downtime.
The challenge
This mid-sized manufacturer was still running its business on Lotus Notes for email and Windows 2000 Server for its core infrastructure. Both platforms had long since stopped receiving security updates, leaving the company exposed and dependent on aging hardware and fewer and fewer people who knew how to support it.
Years of history lived in Notes: more than 7 million emails, plus calendars, contacts, Notes databases that employees relied on daily. Any move had to bring that history along intact, without stopping production or disrupting customer communication.
The solution
PC Geeks planned and ran a phased migration to Microsoft 365:
- Assessment and planning: inventoried mailboxes, archives and notes databases, and mapped each to its new home in Microsoft 365.
- Email migration: moved 7+ million emails into Exchange Online in staged batches over 8 weeks, validating counts as each batch completed.
- Cutover with minimal disruption: PC Geeks switched mail flow over a weekend and ran both systems side by side temporarily so staff came in Monday to a working Microsoft 365 inbox.
- Server modernization: replaced the Windows 2000 servers with Windows Server 2025 as well as cloud services, rebuilt on supported hardware with current security standards.
- User onboarding: Throughout this process, trained staff on Outlook and Teams and provided day-one floor support.
The results
- 7+ million emails migrated with zero data loss
- Unsupported systems retired — the company now runs on platforms that receive regular security updates
- Downtime held to 4 hours during cutover
- Staff gained mobile access, Teams, and shared calendars they didn't have before
